1. INFORMATION WE COLLECT
About you (parent or guardian): We may collect your name, email address, telephone number, postal address, geographic location, IP address, payment information, survey responses, support queries, and social media handles.
About your children: Where you register your child for one of our events, camps, retreats or programs, we may collect your child’s name, age or date of birth, and relevant medical or health information (such as allergies, medications or conditions that may affect their participation). We may also photograph and film children during our events for the purposes described in Section 3 below.
We collect information about children only from their parent or guardian. We do not knowingly collect personal information directly from children. If you believe your child has provided us with personal information without your consent, please contact us immediately at [email protected] and we will delete it promptly.
2. HOW WE USE YOUR INFORMATION
We use the personal information we collect to deliver our products and services to you and your family, including processing event registrations and payments, communicating with you about your bookings and purchases, providing customer support, sending you updates about our programs and offerings (where you have opted in), and ensuring the safety and wellbeing of children in our care.
We use children’s health and medical information solely to ensure their safe participation in our programs. This information is not used for marketing purposes and is only shared with our facilitators, youth leaders and relevant staff on a need-to-know basis.
We use non-personally identifiable information in aggregated and anonymised forms to improve our services, administer our website, and produce analytics.
Marketing communications are only sent to you if you have subscribed to them. You may opt out at any time by clicking the unsubscribe link in any email or by contacting us at [email protected].
3. PHOTOGRAPHY AND FILMING
Beautiful Minds photographs and films our events for the purposes of promoting our programs and services. By registering for an event, you consent on behalf of yourself and your child to being photographed or filmed by Beautiful Minds or its representatives, and to those images being used in our marketing materials, website, and social media channels. No remuneration is payable for such use.
If you do not wish your child to be photographed or filmed, please notify us in writing at [email protected] prior to the event and we will take reasonable steps to ensure your child is not included in any promotional material.
4. STORAGE AND SECURITY
We store your personal information on secure servers and take reasonable technical and organisational measures to protect it from unauthorised access, disclosure, alteration or destruction. Payment information is encrypted in transit and we do not store credit card details on our servers.
We retain your personal information for 7 years from the date of collection, or as otherwise required by law, after which it is securely deleted or de-identified.
Children’s health and medical information is retained only for the duration of the relevant program or event, plus a reasonable period thereafter, and is then securely deleted.
5. THIRD-PARTY SERVICE PROVIDERS
To deliver our services, we share certain personal information with trusted third-party providers. We only share what is necessary and require all providers to protect your information in accordance with applicable privacy law. Our current service providers include:

- Stripe — payment processing (United States)
- Facebook (Meta) — advertising and analytics via pixel technology (United States)
- Google Analytics — website analytics (United States)
Some of these providers are based outside Australia. Where your personal information is transferred overseas, we take reasonable steps to ensure it is handled with a comparable level of protection to that required under Australian privacy law.
We do not sell or trade your personal information to any third party.
